1      Abstract


This manual provides guideline in order to smoothly operate SuccessFactors solutions. The following guidelines principle and related operation guidelines will be addressed:

  • Single source of truth
  • Full transparency regarding performance and availability
  • Reliable data transfer and message transport
  • Every business critical exception is caught and reported
  • No data inconsistencies between Public Cloud and OP/Private Cloud components
  • Business Process KPIs can be tracked for all components
  • Maintenance windows and down times need to be communicated in advance
  • Synchronized software and configuration maintenance needs to be ensured
  • No change is executed unsynchronized
  • All software and configuration changes are tested end-to-end
  • All IT Service Management processes have to run smoothly integrated
  • Safe and reliable remote access

Accordingly this document provides information about existing tools to support customer for daily operations on the integrated solution but also some best practices and references.

2      Architecture Context and Overview

 

2.1    Solution Architecture

 

SAP and SuccessFactors offer flexibility for SAP customers who want to move HR business processes to the cloud. There are two typical deployment models that are prevalent across the SAP customer base. These are:

  1. Talent Hybrid
  2. Full Cloud HCM

The vast majority of SuccessFactors customers does NOT integrate Success Factors with SAP ERP. Such customers still oftentimes integrate SuccessFactors with other solutions. Some standard cases of such integrations are described under https://help.sap.com/cloud4hràEmployeeCentral in various integration guides.

 

3      Operational Manual per Topic

 

3.1    Solution Documentation

 

Solution Documentation is referencing the guiding principle Single source of truth also for hybrid solutions. It is divided into two parts:

 

  • Technical Landscape Documentation:

In SAP Solution Manager this task is fulfilled by the Landscape Management Database (LMDB)

 

  • Business Process Documentation:

Documenting the end-to-end business processes is especially important for testing purposes and change impact analysis.

This includes documentation for OP/Private Cloud components as well as Public Cloud components. Documentation of Public Cloud components in SAP

Solution Manager is a new functionality.

 

3.1.1    Technical Landscape Documentation

 

3.1.1.1    Use Case Description

 

The various Public Cloud components need to be represented in SAP Solution Manager in a light weight fashion. For this purpose the entity External Service has been introduced.

 

External Services are modeled in LMDB. External Services can be seen as light weight technical systems. They offer a rough description of their service, but do not provide details about how the service is built technically. For example SAP Solution Manager will not get knowledge about installed software components or host virtualization.

 

Like technical systems, external services can also be assigned to business processes.

 

3.1.1.2    Solution Documentation via SAP Solution Manager


Solution Manager provides a way to document your Landscape component in a light way so that they can be used in the different applications like the Monitoring and Alerting ones.

How to:

Launch the System Creation UI

In your Solution Manager run transaction s2c_setup

 

 

 

 

 

Here you can define and configure different system types for Hybrid solutions and use them in Integration Monitoring and exception management.

You can create for those systems connections with name, description and endpoint description which can later on be used for exception extraction or connection monitoring.

Solution Manager 7.10 SP13

 

 

 

 

 

This functionality is not included in the standard Solution Manager setup, however, it is fully supported by SAP. The notion of extended services has been introduced in addition of the Technical systems entities to allow customer to model their cloud solution and benefit of the standard Solution manager tools.

 

Currently (SP13) supported are the following extended services:

  • SuccessFactors – Employee Central
  • SuccessFactors - Learning
  • Dell Boomi
  • SAP Cloud for customer
  • SAP Hana Cloud Integration

 

3.1.1.3    Solution Documentation via SAP HANA Cloud Integration

Additionally, in SAP HCI, you can model your landscape and define the various business processes like the synchronization one.

An Eclipse add-on allows you to model your landscape and processes, to do some mapping or transformation to your messages and then deploy the result to your HCI tenant.

This allows you to integrate different systems in your Landscape.

3.2    Performance and Availability Management

 

The section Availability and Performance Management is referencing to the guiding principle Full transparency regarding performance and availability.

 

3.2.1    Use Case Description

 

Availability and performance management is based on monitoring and detecting deviations from expected end user performance targets aligned between customer and service provider.

 

3.2.2    Performance and Availability Management via Successfactors Administration tools

 

Successfactors regularly provide to his customers Product Operations Customer Reports. Based on the support contract, customers can get them monthly or on demand. Some on this information relies on internal tools, some others are accessible online

 

ART (Availability and Response Time) are available for general use on Sharepoint.

 

3.2.2.1    Customer Availability

 

System Availability
The Customer's application URL is monitored once every minute, from the Internet, via 30+ global sensors (testing sites). The monitoring tools measures the time the system was available. System Availability is defined by the monitoring tool's access to the URL and with Login/Logout activity from the monitoring tool.


Unsuccessful tests could be due to:

  • Transient      Internet Issue
  • Scheduled      Maintenance
  • Application or      Data Center Infrastructure Issue

3.2.2.2    Response Time Report

 

Response Time
Response time is measured during each one minute test with the average for the measured period provided in milliseconds.

Note: As of September 2013, monitoring tools are configured to capture response times using the latest BizX feature-rich user interface-v12. Because of these monitoring changes beginning September 2013, reports will show new v12 interface standard response times that are more reflective of actual customer experience when logging into the application.

3.2.2.3    Service Availability Status

Service Status Dashboard provides a macro-level overview of the production data centers and service status. Service Status Dashboard provides status for the current day and monthly historical status of each data center.

3.2.2.4    Customer Performance Metrics (Platinum Only)

Platinum customers can get additional information through the Customer Performance Metrics report.

It correlates the number of transactions with the average time spent in the network or the data center. Since the Success factors client applications are also instrumented, it is also possible to measure the end-user average response time.

The API Metering Details page will give you analytics on your API usage for the last 30 days. You can use this page to see API call history analytics like how many times the API was called, or what was the total record counts accessed in your system.

3.2.2.6    Performance and Availability in Solution Manager

 

3.2.2.6.1      General Infrastructure

 

It is possible to measure performance and availability of the solution via the End User Experience Monitoring tool in Solution Manager.

Based on recorded scenario which can be deployed and executed from different locations towards the Cloud, it gives an overview of the scenario performance during the day and depending on the location.

It is available for all HTML based end user scenarios.

3.2.2.6.2      SuccessFactors use case

 

Some pre-delivered scripts allow to check the behavior of your Success Factor solution from different locations. However this should be used only in case of bad performance suspicion and in agreement with the cloud provider as this might generate some unnecessary load on the cloud provider side and generate even worse performance.

3.2.2.7    Transactions Report ( Platinum Only)

3.2.3    Performance and Availability Management via SAP Solution Manager

 

API should be provided but no data is available yet.

 

Standard tools for on-premise are still available in case the customers has a hybrid solution.

 

In general, to be able to use the different monitoring tools in SuccessFactors environment, it is necessary to:

·        Run the Managed System Configuration for any on-premise technical system which should be considered (in case of hybrid scenario)

·        Create the cloud services via Basic Setup for Monitoring SAP Based Hybrid Solutions (s2c_setup)

·        Run the technical monitoring infrastructure configuration

·        Configure the Solution Manager self-monitoring (mandatory for SFTP monitoring)

 

3.2.4    Performance optimization via Akamai

Prerequisites and additional information

Akamai optimization has to be enabled


In case a Success Factors customer has licensed Akamai optimization for a certain SuccessFactors module but still observes unsatisfactory internet latencies or strong internet response time differences between business regions, the customer should address this to SuccessFactors support in order to check if Akamai optimization has been enabled and is used properly. In case a certain SuccessFactors module shows unsatisfactory internet latencies and Akamai services have not been enabled yet for this module, the customer is encouraged to contact SuccessFactors support in order to assist with the available options of Akamai usage.

3.3    Integration Monitoring

 

Integration Monitoring is referencing to the guiding principle reliable data transfer and message transport.

 

3.3.1     Use Case Description

 

Integration monitoring is intended to ensure secure and reliable data and message transfer between OP/Private Cloud and Public Cloud components. It needs to be ensured that no data or message get lost or is manipulated at its path.

In case Dell Boomi software is used as middleware between EC and ERP, a specific tool is available to track replication issues. HCI scenario is handled in a different document.

3.3.2     Checking Data Replication Results

 

3.3.2.1     Monitoring tools in the SAP ERP system: Web Service Utilities and Application Log

 

On the ERP side there are two monitoring tools that will help you identify errors that occur during the replication of employee master data. The tools cover different stages of the replication process. Replication messages are first received by the Web Service Framework. Here the system performs a technical check on the compliance of the received message with the XML schema required by the inbound service interface. The error log in the transaction Web Service Utilities (SRTUTIL) shows errors that come up in this check. Use interface name II_PAOCF_EC_EMPLOYEE_MASTER_DA to narrow the search in the Re-select dialog, if necessary. Erroneous messages are not further processed.

Correct messages are passed on to the application logic that maps the data to the structures of the SAP HCM employee infotypes and performs the updates on the HCM master data records. Numerous checks are performed here. Examples of errors are unknown code values, missing mandatory field data, or editing locks if records are currently being edited by another user. These errors can be monitored in the Application Log (transaction SLG1). On the selection screen enter PAOC_SFI_PA for the input field Object.

Often it may be useful to look in detail at the data of the replication message to better understand why an error has occurred. This can be done in the message monitor of transaction Web Service Utilities (SRTUTIL). On the selection screen enter EmployeeMasterDataReplicationRequest_In for the input field Interface Name at the bottom of the screen and choose appropriate entries for the timestamp fields. Here every received replication message is logged. By double clicking on a message its content can be displayed. It can also be displayed as an XML.

3.3.2.2     Internet Communication Manager (ICM)

3.3.2.3     Middleware Error and Process Log

 

Use this error and process log to track mapping errors in the middleware. For more information see Set up Middleware. ------> Boomi

 

3.3.2.4     API Audit Log

 

Use the API Audit log to capture payload details for the last 10,000 API calls. This log allows you to inspect exactly the API payload request made to the system and the corresponding API response sent by the system. The API Audit Log is intended to help with support and debugging of API usage. The intended end user will be a developer who is using the API during an implementation or an administrator who can share information in this log with SuccessFactors support to help resolve API related support issues. The tool allows you to download data from individual calls, which you could then send to a SuccessFactors support representative.

3.3.4     Dell Boomi RSS feeds and email alerting

 

For proactive monitoring, customers can set up subscriptions to receive emails reporting atom status, process execution status and/or user notifications.

3.4    Roles and responsibilities for integration operations

 

In case a customer integrates his SuccessFactors solution with other systems, there are certain roles for operating this integration which are not covered from SAP side. Therefore, these roles should be assigned to responsible people on customer side. In the following, the four required roles are described in more detail. Tasks related to Dell Boomi are analogous in case another integration platform than Dell Boomi is used.

 

3.4.1     Boomi content owner

 

Patches and new versions of SAP standard content need to be tested and deployed by the customer. Maintenance, support, updates and extensions of custom content need to be provided by the customer as well.

 

3.4.2     Business configuration owner

 

This role comprises the following tasks:

  • Business configuration of processes and integrated backends
  • Solve issues due to configuration mismatches in source and target systems
  • Boomi process scheduling (timing, frequency…)

3.4.3     Integration Operations


To operate the integrations, the following tasks should be covered:

  • Monitor planned process executions
  • Detect and follow up on process failures
    • With SAP support if issues are related to SuccessFactors or Boomi platform, or standard Boomi content
    • With custom content owner if issues are on custom Boomi content
    • With business configuration owner if configuration issue
  • Trigger retry of failed processes after issues are fixed (unless regular schedule will catch up)

 

3.4.4     Technical configuration owner

 

The overall technical configuration needs to be owned by a responsible person, having the following use cases in mind:

  • Understand complete landscape (Cloud and on Prem)
  • Configure connectivity and access credentials in Boomi environments and integrated systems
  • Work with IT security / network on firewalls, whitelists …
  • Solve issues with systems access on customer side

 

3.5    Exception Management


The section Exception Management is referencing to the guiding principle Every mission-critical exception is caught and reported.


3.5.1     Use Case Description


Exception Management needs to ensure that every mission-critical technical and business exception is detected and forwarded to the right audience.

 

3.5.2     Exception Management via SFAPI Audit Log

 

In SuccessFactors to navigate to the SFAPI Log, go to the upper right corner of the screen select the user and choose Admin Tools -> API Audit Log

Scroll down to Integration Tools -> API Audit Log

In the Audit Log you can filter for the sessionId from your Login message response (soapUI; SetCookie-Header-Property(JSessionID)).

 

As an administrator you can inspect the SOAP request/response and the http-request-header. In the response XML you can detect the exceptions.

 

3.5.3     Exception Management via SAP Solution Manager

 

Starting with SAP Solution Manager 7.1 SP12, SAP provides with Exception Management a tool to detect, analyze and handle (solve or forward) SAP HCI based Exceptions.

 

When used with DELL boomi or HCI middleware, exceptions can be detected using Interface and Connection Monitoring as described in Integration part.

 

Exception for Successfactor can come from SFTP or email extraction.

 

For information on how to enable central monitoring of exception for Hybrid scenarios go to SAP Note 1996648.

 

Once you have configured your system in LMDB (see Solution Documentation via SAP Solution Manager), start Exception Management configuration application using Root Cause Analysis->Exception Management Cockpit->Configuration->Overview.

 

There you can define different extractor sources and filters.

 

Afterwards, detailed exceptions are available in the Exception Management Cockpit for the corresponding category

It is also possible to link such exceptions to the Alert Infrastructure and display them in the alert inbox.

The following exception can be retrieved for SuccessFactors:

  • SAP HCM

o    Job log monitoring is integrated in standard to exception management and allows to track failing Abap jobs

o    Errors from table HRSFI_D_ERR_LOG can be extracted for the Employee data integration scenario.

 

  • Integration via HCI (see 3.3.5)

It is possible to collect errors for the different IFLows which are running

 

  • Email converter

 

It is possible to configure Exception Management to extract data from some configuration emails. Currently supported formats are Dell Boomi errors and Bizx export jobs emails

3.6.3     Data consistency within HRIS Sync

 

In case you use SuccessFactors Employee Central and Employee profile, the data between these two modules is kept in sync. This is ensured by the HRIS Sync functionality.

In public cloud applications the release and maintenance management is owned by the cloud provider. Any corrections or software updates in the public cloud software are defined and deployed by the cloud provider. Customers cannot withdraw from maintenance activities conducted by the cloud provider. However, in return the cloud provider has to ensure maximum business continuity for the customers.

3.9.5     Dell Boomi Regression Testing

 

Dell Boomi releases new versions of its integration platform on a regular basis. The same holds true for all kind of backend systems which Dell Boomi connects to.  In such cases, it is important to ensure that customer integration content being deployed on Dell Boomi will work also after such software updates.
In case of SAP standard integration packages, SAP tests compatibility of these releases under various conditions. Moreover, corrections to these integration packages are delivered on a regular basis. In this way, SAP ensures compatibility of its integration content with new releases of Dell Boomi or backend systems.
The situation is different for integration content which was developed by the customer himself, who is then responsible for the maintenance of this content himself. In order to ensure compatibility of integration content with new releases of DellBoomi, Dell allows customers to submit their integration processes to Dell Boomi for regression testing by Dell. This feature is called Boomi Assure. It needs to be ensured that the complete solution landscape containing can be documented. This includes the technical landscape, as well as the business processes and their context information as interfaces and test cases.

  • Principle: Full transparency regarding performance and availability

 

End users of customers needs to track availability of certain scenarios and measure their performance. Customers like to understand the end-user behavior measured from their end user’s locations.

 

  • Principle: Reliable data transfer and message transport

 

Typically, master data as well as transactional data need to be exchanged on a regular basis between Public Cloud and OP/Private Cloud components. It needs to be ensured that data and message transfer is executed in a reliable matter. This means no data or message can get lost and in case the data or message transfer is disturbed, the situation is monitored and alerted.

 

  • Principle: Every business critical exception is caught and reported

Especially for business processes, it is absolutely necessary to ensure that every business-critical exception is recognized by the customer’s business operations team.

 

  • Principle: No data inconsistencies

 

Master and transactional data are exchanged as a one-time event or on a regular basis. These data exchange processes can be successfully completed or fail. Failed data exchange processes should be identified.

A dynamic action to be created which populates infotype IT0583 (Car and Conveyance) in which the BEGDA will be ENDDA+1 of PA0045-Subtype 3060 and ENDDA will be 31.12.9999. The conveyance type should be ‘7 – owned car’

The following are the results from this method.

 

  1. Automatic deduction of car lease installment from Flexi Allowance in payroll processing which in turn reduce the errors from manual data maintenance
  2. Employee CTC report / Salary comparison will not be effected due to deduction of car lease amount
  3. Automatic updation of employee conveyance type on closure of Car Lease tenure which results in computation of tax exemptions/Driver Perk if any in right way


5.  Conclusions


Most of the IT / Manufacturing sectors in India has the car lease process. It’s a standard and automated solution which eases the work of Payroll Administrator in any company

Employee Central Document Generation

SuccessFactors recently came out with the Document Generation functionality which I think is much needed for HR operations.

I remember for one of the SAP On-premise customers we had ended up creating close to 15-20 ABAP based forms for documents the HR operations used to create for employees – from Experience Letters to Reference letters for loans etc.

 

That time I thought we could actually share the solution with SAP to make it as a part of the standard functionality J

 

Anyways, better late than never, SuccessFactors now has this functionality available – its simple, flexible and really neat!

There are a few improvements needed around the HTML editor, mass letter generations, business rules, past and future dated letters; but none the less a good tool for implementation and customer rollouts. I am sure it will be enhanced in the upcoming releases.

 

In this document, I plan to share a how-to guide for document generation enabling and functionality.

So here's a user’s perspective on the SAP document above.

Firstly, enable the document generation feature from the provisioning –

Once enabled, usual practice - through RBP enable it for the roles as necessary under Admin Permissions –

The next step is to set up the configuration UI for the Document Generation.

  1. The document above mentions 3 options to do so, but I will explain only option 1 as that’s the easiest J and quite frankly was lost and the other 2 options didn’t seem to work for me.

A predelivered configuration UI with ID DocumentGenerationOverviewConfigUIMeta is available. You can use this pre delivered content by associating it with the screen look up object. You have a provision to use already delivered Document Generation Screen Look Up via SuccessStore.

Here are the steps to do so and the screenshot for the same –

 

Admin Center >> Employee Files >> Import Export Data >> Select Import

Select ‘SuccessStore’ and select the ‘Document Generation Screen Look up zip file’ relevant to your environment and import it.

Once the setup is in place, you would receive an email stating the status of this import.

 

You will now see 3 options (based on your RBP selection) under Admin Center >> Employee Files

While creating the template in the above destination, we can define our own user defined tokens/placeholders. The difference from the email template tokens is that these can be user defined through this mapping link.

We will see this in details in the example below.

Destination 3: Document Generation – Generate Document

Once the template has been defined, the tokens within the template have been mapped – using this link you can go and generate the documents for the respective employee you select.

 

So lets take an example now of how these can be created – I will be creating an Address Proof letter from our very own ACE Company J

The document gives an example of Experience Letter so didn’t want to copy that and since I recently asked my employer for an address proof letter, could relate to it much better

So first we create the template –

Goto Admin Center >> Emloyee Files >> Document Generation - Manage Document Template

And create a new template.

Define your own tokens you would like to have withn ‘’[[‘’ and ‘’]]’’ as shown in the screenshot below –

For images use the web based URL.

The tokens I have defined for this example are –

Once this is done and saved, comes the part I really enjoyed – gave me a feeling of a kid with a new toy to play with

Mapping the above created tokens using Document Generation - Manage Document Template Mapping.

 

Select the template you created in the previous step and you will find all the tokens you might have created in the template in the previous step.

 

If there is a direct mapping to one of the fields select it – eg. Prefix, First Name, Last name, etc

 

You also have the option to define derived or calculated fields based on the Business Rules with the option of Calculated Mapping.

However, before you create a business rule there are crtain steps you may need to do –

Firstly, you will need to add the token/placeholder as a field in the MDF Object ‘Document Mapping Rule Result’ (not sure why this step has not been mentioned in the document link above). Without this step you will not get the option to add the placeholder/token to the business rule.

If you plan to create a Business Rule for a derived/calculated dynamic field, the first thing that needs to be done is add DocumentGeneration as the RuleType in the Admin Center >> Configure Object Definition >> Picklist >> RuleType as shown in the screenshot below.

Note: 2 places where I spent a lot of efforts and racking my brains.

  1. The effective date of the picklist is 10/14/2013 so while creating a rule the rule start date on or after the effective date in the RuleSet picklist (I know obvious and was banging my head as I wasted around an hour to figure out why I could not see the Rule Type while creating the business rule.
  2. While creating a rule I could not find the Document Generation option in the business rule. So I went ahead with any random rule type while creating the business rule and saved it. After saving I tried to edit the rule again and could see that option again. Crazy! But not sure why this happened.

 

Now you can create a rule under Configure Business Rule with Base Object as Document Mapping Rule Result and Rule Type as Document Generation

 

I am using 2 simple examples here -  [[yearsOfService]] and [[todaysDate]] –

You can add these business rules to your placeholders using the ‘Calculated Mapping’ option under Document Generation – Manage Document Template Mapping.

Now you are all set to generate your documents for employees through –

  1. Admin Center >> Employee Files >> Document Generation – Generate Document

While generating documents here are the issues you may run into -

1.       Error –

This error could be misleading. It mentions you do not have permissions but what it actually means is that the rule or the mapping of the field is incorrect.

I just changed the rule to have both the dates as todaysDate and the document got generated.

2.       Partial Mapping Error –

This error implies there may be a missing or incorrect target mapping defined for the field specified.

I didn’t get this error so sorry no screenshots here L

 

3.       Incomplete mapping warning –

If the mapping is not completely done, the template will not be available as an option to generate the document.

4.       Placeholder could not be processed warning –

This means that values for certain placeholders/tokens might not be available for the employee for whom you are trying to generate the document for.

Not really sure about this but an issue I see with the Business Rules for Document Generation is that while creating a business rule, the option available for selection is ‘Current User’.

Need to test but I am assuming the values the business rule may fetch would be for the current user as the logged in user or the user selected in the Document Generation screen.

Need to check this in detail and will update.

Hi All,

 

I have created this document to add the values in picklist which will be available in dropdown and attaching to a custom field.

 

 

To add a custom UI field in position MDF and attach picklist to the custom field.

 

In the example, I have created field called “WorkCenter” and attached Picklist to it. The picklist is similar to concept of F4 help in SAP. It gives list of options and enable us to select any one from dropdown.

To achieve this, find the steps below:

 

Step1: Admin Center -> Configure Object Definition.

To edit the properties of any fields or to add new field in the existing object.

Take action -> Make correction.

Scroll to the bottom of the page to add new field. In case want to edit the existing properties of the field then search for the field and make appropriate corrections.

Make sure the datatype is maintained as Picklist. Click on Details to edit properties of the new field. Eg. Edit label, visibility, mandatory etc as per your choice. Please check Valid Value Source field, the name should be unique and the same should be defined in Picklist under data model.

:

Define Picklist in Object definition. Add the entries to make it available in the field.

Step3: Admin Center – Set up Picklists.

Export data : This option will enable to download all the picklist maintained in the system.  This is used to add the option to appear in the dropdown.

This will download a file in excel in ZIP format. Unzip it to view the folder then there will be excel holding all the picklist.

Enter the data with the number range not defined in any interval. Make sure the active id is blank, system will automatically generate the id .After updating the values in the excel, You can see the values will appear in the dropdown.

Submit to upload the values.

Scroll to the bottom to find the list of values got updated in the system.To ensure data got updated successfully, try downloading the file again to look up for the created entries in the file.

 

This end the document of making the picklist available to custom or standard fields in EC.

As my scenario is to display field on PA 20, PA30 Screen so I have chosen ‘00’ Screen header, and gave unique header modifier for reference to next step

One of the following field labels "short keyword", "middle keyword", "long keyword", or "different keyword from DDIC" can be assigned to a screen field (in the header)

This field ‘name’ is displayed on the fronted screen i.e. PA20, PA30

 

 

--> Infotype header definition

Select the header modifier which we have selected on the previous step eg – ‘09’

Check the available space to accommodate the required field by performing a simple test  so that we can get grid view on the screen header,  eg as below, By this single test we can get the view of screen on which line and column space is available

As per below image available space is in Line 2, column 45 onwards.


 

 

 

Infotype contains a code that represents a specific infotype. Infotypes allow you to describe object attributes

Field name refers to the attributes which needs to be displayed.

 

Once the record is created, then test it through 

Adjustment of column can be done by shifting the column number if required

through this action we can check for any error in configuration of screen headers

Once the output is fine then   

 

After generating, check the PA20/PA30 screen, changes would be available now.

HR Renewal 2.0 (FP4), HR Professional Role Implementation – Lessons Learnt

I was recently involved in the implementation of HR Renewal 2.0 (Feature Pack 4) for HR Professional Role.  This role is a target for those HR Professional users that typically execute the likes of PA40, PA30 and PPOME functionality in their day-to-day jobs.   The project was for a global organization and included 40 countries with approx. 5000 employees.  HR Renewal was the primary UI for all HR Professional Users to enable global HCM Processes. (PA40 - Actions, PA30 – HR and Global Payroll Infotypes, PPOME – Organizational Structure, HCM Reporting using SAP Query and some custom reports).

 

Below is some useful feedback on lessons learnt, that may add value if you planning a similar journey:

 

 

Key Hi-Lights of the Product:

  • Ease of use and simplified navigation
  • User specific configurable display settings, for example changing navigation lanes order and background picture display
  • Most update activities can be executed from search results output, this includes OM objects and Persons
  • Swim Lane concept that groups activities for Professional Users, for example an ‘Actions Lane’ and ‘Analytical Lane’
  • The Organizational Visualization functionality and update functionality that can be executed from within the visual navigation
  • Short Profile display as part of the search results output
  • Detailed Profile display that can be executed from search results output
  • Provides a good foundation to easily deploy ESS and MSS functionality

  
 

Key Low Lights of the Product:

  • Lack of functionality to manage international assignee’s process (country re-assignments)
  • Lack of functionality to manage multiple position assignments
  • Organisational Management functionality only supports the basic objects and basic infotypes
  • No enhanced objects maintenance  functionality and position ranking (move up and down) functionality
  • Position search in the road map forms (PA40 Action Replacements) only includes a search on Position ID and dates
  • Cannot maintain Job and Qualification Catalogues
  • Cannot maintain employee qualifications (Infotype 0024)
  • Cannot execute action corrections or change of Hire/Termination dates

 

Implementation Considerations:

You’ll need some additional resource and effort than traditional PA and OM implementation.  The implementation would typically require HCM functional and Netweaver resource, and requires additional time for configuration and testing.  In our implementation, approx. 30% additional effort to that of a traditional PA/OM implementation, of similar scope and size.

 

In Summary:

It’s not a like-for-like replacement for traditional PA40, PA30 and PPOME functionality.   The product does offer something, but perhaps an up-front assessment is suggested prior to implementation.

De-Coupled Versus Non De-Coupled Infotype Framework

 

On a recent project the question was raised on various occasions as whether we should fully de-couple the infotype framework as part of the implementation.  Some useful content below that may assist you to answer the same question.  The purpose is not to provide a technical brief, as I’m sure there is content available already, but rather to provide some summary feedback on the investigations.

 

The project scope included HR Renewal 2.0 (FP 4) for HR Professional User Role.  When implementing any of the ‘new technology’, by nature you are already using the de-coupled framework, and as part of this implementation should consider at least activate the ‘PC_UI’ Switch (see attached for example) on the system table. This is to ensure data consistencies between the User Interface (UI) method and database data tables.

 

Once activated, the tendency may be to fully de-activate the infotype framework. In simple terms, regardless as to whether the UI is a traditional SAP GUI modulepool screen or a ‘new technology’ screen; the same processing logic will be used in the outcome.

 

Do you need to fully de-couple the infotype framework?  Consider below as part of your assessment:

 

  1. Once activated, then as standard, some of the infotypes will be de-coupled.  This is defined by table V_T582ITVCLAS (see attached for example):  Typically these are the data sharing applicable infotypes, like infotype 0002 / 0006 / 0009, to enable concurrent employment processes.
  2. If the infotype is set as ‘Permissible in certain Circumstances’, then those country circumstances are specified in table V_T582ITVCHCK (see attached for example):  As standard, SAP provides some countries de-coupled infotype framework.
  3. Depending on above settings, table V_T582ITD can be used to specify the modulepool dialog module (see attached for example).  This is used in Personnel Administration (PA) when using normal SAP GUI (i.e. normal PA30, infotype maintenance).
  4. The PA screen modifications are done in the normal way using table T588M.  If no entry is in table V_T582ITD, then the normal modulepool entry will be used to set the screen modifications (see attached for example):  for example, MP000200 versus MP000200_CE.
  5. Traditional PA Infotypes using SAP GUI, and ‘new technology’ screens can CO-EXIST.  Both can be used at the same time and the old cliché ‘if it’s not broken, then do not try fix it’ comes to mind!!
  6. What is gained by fully de-coupling the infotypes? And how much effort is involved?

 

Fully de-coupled infotype framework may only add value if your solution contains extensive use of the modulepool BAdi’s, or you planning on implementing extensive infotype custom enhancements.  The main reason for this is that in the de-coupled infotype framework, the same user exists are called within the processing logic.

 

In Summary:

 

Give some thought to above points before fully de-coupling the infotype framework.  The traditional infotypes and ‘new technology’ can co-exist and it’s worth the effort to do some initial homework before implementing an infotype framework solution.

Data Replication Approach from Employee Central to SAP On-Premise System

This document focuses on a customer who desires to implement SuccessFactors Employee Central first, and later on transfer employee data from SuccessFactors Employee Central to on-premise SAP using Dell Boomi AtomSphere as the integration middleware.


XYZ Services has just implemented Success Factor Employee Central for all the countries and only the four countries (Switzerland, Germany, US and UK) are selected to run payroll in SAP On-premise with Success Factor Employee Central integration.


Due to the complexity in the requirements for XYZ Services, India  would like to implement SAP On-Premise first, and later on to execute the integration of SuccessFactors Employee Central with SAP On-Premise to run payroll in SAP On-Premise.

 

 

To integrate and transfer data from Success Factor Employee Central with SAP On-premise using Dell Boomi Atom- Sphere middleware, the following steps must be executed before doing it in Production system.


  • The copy of Success Factor Employee Central Production has to be taken and kept as pre-production system.
  • The copy of SAP On-Premise Production has to be taken and kept as pre-production system.


The biggest challenge is, the data available in Success Factor Employee Central Pre-Production System is effective from 01st Jan’2015 to 31st May’2015 (considering you want both the system to be live by August’2015) however the data available in SAP On-Premise will be from 01st April’2015 to 31st May’2015. Keeping the above challenges in mind we propose to synchronize by updating the data between both the systems to run the payroll in SAP On-premise.


These are main steps required to implement the SuccessFactors Employee Central integration with SAP On-Premise:


  • Align Success Factor data in pre-production system with the start date as 01.01.0215 for all the employees with SAP On-Premise system by comparing mandatory info types (Actions (0000), Organizational Assignment (0001), Personal Data (0002), Addresses (0006), Planned Working Time (0007), Basic Pay (0008), Communication (0105).
  • Split Job Information and Compensation Records in Success Factor Employee Central prior to 01.04.2015 with dummy values and update the necessary fields with real values after 01.04.2015.
  • Switch on Dell Boomi AtomSphere for the data replication in SAP On-Premise to run payroll.


The above mentioned steps should be executed manually with restricted number of employees to check a replication. To do the changes for mass employees, the approach would include maintaining the data in excel sheet with duly filled respective fields

With On-Premise nearing retirement, it’s good to see some HCM additions that are very useful and will add value to customers.  Some if these additions would have been welcomed many years ago by customers, but I guess better late than never!!

 

It is worth reading through the SAP notes as there are some useful additions to core HR, below are a few key samples. 

 

  • Refresh button in Display Master Data (PA20) – This button allows you to refresh the data being displayed for an employee, rather than having to exit Display HR Master Data and then go back in again.

 

  • New user parameter to Remove Multiple Entries in Personnel Number Search Help (HR_SEARCH_SHOW_P_1 set to X).   Currently when you search for an employee, (by name for example), if they have more than one record for the infotype you are searching against, then multiple lines will appear, this can now be de-activated. Once the parameter is activated, it will only show in the search results the record that is valid as at todays’ date.

 

  • Locking records time out – If you are in Maintain Master Data and are in an employee’s record, you lock anyone else from maintaining that record, including payroll.   If you are in a record and have not done anything for 10 minutes, you will receive a warning that you will be switched to Display Master Data.   If after another 5 minutes you have still not done anything, you will be switched over to Display Master Data.  This will then open the record for other users to process.

 

  • Organizational Structure (PPOSE) from Organizational Assignment (Infotype 0001).  When you are in an employee’s Organizational Assignment infotype, you can navigate to the Organisational Structure in Organisational and Staffing mode.  You can also navigate back to the employee’s Organisational Assignment infotype.

 

  • Additional text information can be associated with wage types and displayed via basic pay (0008), recurring payments and deductions (0014) and additional payments (0015) infotypes.  This text can be useful to describe the wage type for end users and provide additional information on how the wage type is used in the payroll process, for example any calculations or whether a wage type is pensionable.

 

  • Masking Date of Birth in search results display.  When using search help that includes date of birth on the result display, this can now be suppressed with a bit of configuration.

"RES" is a Pay Type variable which you use as return value in your feature 24EOS

"01" is Pay Group variable it will use in case of more than one group in a same policy

5 Things you may have not known about LSMW

 

As I journey further into HCM Cloud applications, I’ve gained more of an appreciation for LSMW. A few useful tips below – some you may have known about already or just a useful reminder if you not used LSMW for some time.

  • Adding selection fields to the read and convert step. This is very useful in large migrations; where you have one source file and want to split the migration into smaller groups, for example select on a country or range of personnel areas.  You can also include specific fields into the source file(s) for selection purposes.


On the ‘Maintain Source Fields’ step, double click on the field(s) you want to add as selection fields and set the Selection Parameter.

 

  • Specifying source fields based on an existing SAP object. This is useful and saves time in LSMW build by automatically inheriting some of the field attributes from the existing SAP object.  For example, using table PA0002 for an LSMW to migrate infotype 0002 (Personal Data).


On the ‘Maintain Source Fields’ step, select the Source Fields Input Structure, then the menu path, Source Fields>Copy Fields.   Then select the table object you want to copy the fields from, this normally relates to the data table you are updating with the LSMW.  For example, PA0002 for infotype 0002, or table CSKS for cost centre masters.

 

  • Manually editing recordings.  Useful if you wanted to make some cosmetic adjustments to a recording but did not want to re-run the full recording.  For example, change a modulepool screen number or adding BDC Commands.


Use the ‘Export LSMW Project’ from the main LSMW application screen, using the ‘extras menu’ option. Select the LSMW project and continue, then unselect all the LSMW objects by clicking on the main project top node long description line. Then select the specific recording by clicking on the applicable long description line. Then Export the Project to a local text file. Using a normal text editor, you can then edit the LSMW manually.  You need to maintain the same layout structure, but can edit within the Recording Section, add lines by copying exiting lines.  Screen numbers can easy be changed by overwriting the existing number on the appropriate line.   You can also remove lines or edit screen fields and BDC commands. Once finished, save the text file.   


Use the ‘Import LSMW Project’ from the main LSMW application screen.  Again, you must unselect all the objects and then just select the object you want to import.  The existing recording will be overwritten with the manual modifications.   It’s also useful to copy existing recordings that are similar to what you require for a new LSMW, and then follow the above to manually edit and import.  These new recordings can then be used for new LSMW objects.  For example, migrating infotype 0002 for many different countries that have similar fields.


  • Batch files sizes and keeping batch folders. If you migrating large volumes of data and may also need to distribute loads across application servers, it is useful to break the batch files into user specified batch numbers.


In the ‘Create Batch Input Session’ step, use the display transaction per folder field to specify the batch sizes.   You can also use the keep batch folders option to keep the batch files once completed.

 

  • Batch Analysis in Excel format.  The batch error analysis can be tedious to navigate through the various errors, mostly since this is done at an individual transaction level.  With a bit of manual file manipulating, you can follow the below steps to import the errors into Excel.


Step 1:

- In SM35, highlight your batch with the errors.

- Click on Log

- Highlight the job

- Click display

- Click print

- Menu: System - List - Save - Local file - Unconverted

 

 

Step 2:

- In SE38, run program /SAPDMC/SAP_LSMW_BI_ANALYSIS

- In the Batch Input Folder(s) field, you need to enter the session name of your batch (that you will find in the first column in SM35).

    NOTE: If you have more than one session in SM35 with the same batch name, the system will only pick up the first one. So delete the ones you don't want to analyse to make sure the right one is picked up.

- Use the middle radio button for selection (Only Error message E,A,X)

- Click on execute

- On the next screen, select the PERNR tick box (usually the top one)

- Click on execute

- Menu: List - Save - File - Spreadsheet

 

Step 3:

- Open both your unconverted and your spreadsheet files from Step 1 and 2 in MS Excel

    (for the text file, open as delimited in step 1; and use | as text delimiter in step 2)

- Now do a VLookup based on the index number, to get the PERNR (in step 2 file) next to the error message (in step 1 file).

    NOTE: in the step 2 file, the index nr and the PERNR do not stand on the same row - so in a new column next to the index nr row, put in a formula to say = the PERNR cell; and then copy down to the bottom of page. Now copy and paste special - values. Then sort the file and you can do the lookup.

In public cloud applications the release and maintenance management is owned by the cloud provider. Any corrections or software updates in the public cloud software are defined and deployed by the cloud provider. Customers cannot withdraw from maintenance activities conducted by the cloud provider. However, in return the cloud provider has to ensure maximum business continuity for the customers.

3.9.5     Dell Boomi Regression Testing

 

Dell Boomi releases new versions of its integration platform on a regular basis. The same holds true for all kind of backend systems which Dell Boomi connects to.  In such cases, it is important to ensure that customer integration content being deployed on Dell Boomi will work also after such software updates.
In case of SAP standard integration packages, SAP tests compatibility of these releases under various conditions. Moreover, corrections to these integration packages are delivered on a regular basis. In this way, SAP ensures compatibility of its integration content with new releases of Dell Boomi or backend systems.
The situation is different for integration content which was developed by the customer himself, who is then responsible for the maintenance of this content himself. In order to ensure compatibility of integration content with new releases of DellBoomi, Dell allows customers to submit their integration processes to Dell Boomi for regression testing by Dell. This feature is called Boomi Assure. It needs to be ensured that the complete solution landscape containing can be documented. This includes the technical landscape, as well as the business processes and their context information as interfaces and test cases.

  • Principle: Full transparency regarding performance and availability

 

End users of customers needs to track availability of certain scenarios and measure their performance. Customers like to understand the end-user behavior measured from their end user’s locations.

 

  • Principle: Reliable data transfer and message transport

 

Typically, master data as well as transactional data need to be exchanged on a regular basis between Public Cloud and OP/Private Cloud components. It needs to be ensured that data and message transfer is executed in a reliable matter. This means no data or message can get lost and in case the data or message transfer is disturbed, the situation is monitored and alerted.

 

  • Principle: Every business critical exception is caught and reported

Especially for business processes, it is absolutely necessary to ensure that every business-critical exception is recognized by the customer’s business operations team.

The following are the results from this method.

 

  1. Automatic deduction of car lease installment from Flexi Allowance in payroll processing which in turn reduce the errors from manual data maintenance
  2. Employee CTC report / Salary comparison will not be effected due to deduction of car lease amount
  3. Automatic updation of employee conveyance type on closure of Car Lease tenure which results in computation of tax exemptions/Driver Perk if any in right way


5.  Conclusions


Most of the IT / Manufacturing sectors in India has the car lease process. It’s a standard and automated solution which eases the work of Payroll Administrator in any company

Employee Central Document Generation

SuccessFactors recently came out with the Document Generation functionality which I think is much needed for HR operations.

I remember for one of the SAP On-premise customers we had ended up creating close to 15-20 ABAP based forms for documents the HR operations used to create for employees – from Experience Letters to Reference letters for loans etc.

 

That time I thought we could actually share the solution with SAP to make it as a part of the standard functionality J

 

Anyways, better late than never, SuccessFactors now has this functionality available – its simple, flexible and really neat!

There are a few improvements needed around the HTML editor, mass letter generations, business rules, past and future dated letters; but none the less a good tool for implementation and customer rollouts. I am sure it will be enhanced in the upcoming releases.

 

In this document, I plan to share a how-to guide for document generation enabling and functionality.

If you would like not to trust this document then here is the SAP reference document that I used to understand this functionality in detail – Document Generation (you may need SAP ID to access it)

 

So here's a user’s perspective on the SAP document above.

Firstly, enable the document generation feature from the provisioning –

The next step is to set up the configuration UI for the Document Generation.

  1. The document above mentions 3 options to do so, but I will explain only option 1 as that’s the easiest J and quite frankly was lost and the other 2 options didn’t seem to work for me.

A predelivered configuration UI with ID DocumentGenerationOverviewConfigUIMeta is available. You can use this pre delivered content by associating it with the screen look up object. You have a provision to use already delivered Document Generation Screen Look Up via SuccessStore.

Here are the steps to do so and the screenshot for the same –

Select ‘SuccessStore’ and select the ‘Document Generation Screen Look up zip file’ relevant to your environment and import it.

Once the setup is in place, you would receive an email stating the status of this import.

 

You will now see 3 options (based on your RBP selection) under Admin Center >> Employee Files

These are the 3 places which completely manage the Document Generation functionality.


Destination 1: Document Generation - Manage Document Template

This will help to create the template for document generation – Experience Letter, Address Proof etc.

Destination 2: Document Generation - Manage Document Template Mapping

While creating the template in the above destination, we can define our own user defined tokens/placeholders. The difference from the email template tokens is that these can be user defined through this mapping link.

We will see this in details in the example below.

Destination 3: Document Generation – Generate Document

Once the template has been defined, the tokens within the template have been mapped – using this link you can go and generate the documents for the respective employee you select.

 

So lets take an example now of how these can be created – I will be creating an Address Proof letter from our very own ACE Company J

The document gives an example of Experience Letter so didn’t want to copy that and since I recently asked my employer for an address proof letter, could relate to it much better

So first we create the template –

Goto Admin Center >> Emloyee Files >> Document Generation - Manage Document Template

And create a new template.

Define your own tokens you would like to have withn ‘’[[‘’ and ‘’]]’’ as shown in the screenshot below –

For images use the web based URL.

The tokens I have defined for this example are –

[[todaysDate[[

[[salutation]]

[[firstName]]

[[lastName]]

[[legalEntity]]

[[positionTitle]]

[[yearsOfService]]

[[Address Line 1]]

[[postCode]]

 

Feel free to define as many as you like!

Once this is done and saved, comes the part I really enjoyed – gave me a feeling of a kid with a new toy to play with

Mapping the above created tokens using Document Generation - Manage Document Template Mapping.

 

Select the template you created in the previous step and you will find all the tokens you might have created in the template in the previous step.

 

If there is a direct mapping to one of the fields select it – eg. Prefix, First Name, Last name, etc

 

You also have the option to define derived or calculated fields based on the Business Rules with the option of Calculated Mapping.

However, before you create a business rule there are crtain steps you may need to do –

Steps to do before creating a business rule for the Calculated Mapping

Firstly, you will need to add the token/placeholder as a field in the MDF Object ‘Document Mapping Rule Result’ (not sure why this step has not been mentioned in the document link above). Without this step you will not get the option to add the placeholder/token to the business rule.

If you plan to create a Business Rule for a derived/calculated dynamic field, the first thing that needs to be done is add DocumentGeneration as the RuleType in the Admin Center >> Configure Object Definition >> Picklist >> RuleType as shown in the screenshot below.

Note: 2 places where I spent a lot of efforts and racking my brains.

  1. The effective date of the picklist is 10/14/2013 so while creating a rule the rule start date on or after the effective date in the RuleSet picklist (I know obvious and was banging my head as I wasted around an hour to figure out why I could not see the Rule Type while creating the business rule.
  2. While creating a rule I could not find the Document Generation option in the business rule. So I went ahead with any random rule type while creating the business rule and saved it. After saving I tried to edit the rule again and could see that option again. Crazy! But not sure why this happened.

 

Now you can create a rule under Configure Business Rule with Base Object as Document Mapping Rule Result and Rule Type as Document Generation

 

I am using 2 simple examples here -  [[yearsOfService]] and [[todaysDate]] –

You can add these business rules to your placeholders using the ‘Calculated Mapping’ option under Document Generation – Manage Document Template Mapping.

Now you are all set to generate your documents for employees through –

  1. Admin Center >> Employee Files >> Document Generation – Generate Document

While generating documents here are the issues you may run into -

1.       Error –

This error could be misleading. It mentions you do not have permissions but what it actually means is that the rule or the mapping of the field is incorrect.

I just changed the rule to have both the dates as todaysDate and the document got generated.

2.       Partial Mapping Error –

This error implies there may be a missing or incorrect target mapping defined for the field specified.

I didn’t get this error so sorry no screenshots here L

 

3.       Incomplete mapping warning –

If the mapping is not completely done, the template will not be available as an option to generate the document.

4.       Placeholder could not be processed warning –

This means that values for certain placeholders/tokens might not be available for the employee for whom you are trying to generate the document for.

Not really sure about this but an issue I see with the Business Rules for Document Generation is that while creating a business rule, the option available for selection is ‘Current User’.

Need to test but I am assuming the values the business rule may fetch would be for the current user as the logged in user or the user selected in the Document Generation screen.

Need to check this in detail and will update.

Employee Central - add values in picklist and attach it to field

Hi All,

 

I have created this document to add the values in picklist which will be available in dropdown and attaching to a custom field.

 

 

To add a custom UI field in position MDF and attach picklist to the custom field.

 

In the example, I have created field called “WorkCenter” and attached Picklist to it. The picklist is similar to concept of F4 help in SAP. It gives list of options and enable us to select any one from dropdown.

To achieve this, find the steps below:

 

Step1: Admin Center -> Configure Object Definition.

To edit the properties of any fields or to add new field in the existing object.

Take action -> Make correction.

Scroll to the bottom of the page to add new field. In case want to edit the existing properties of the field then search for the field and make appropriate corrections.

Make sure the datatype is maintained as Picklist. Click on Details to edit properties of the new field. Eg. Edit label, visibility, mandatory etc as per your choice. Please check Valid Value Source field, the name should be unique and the same should be defined in Picklist under data model.

Step2

:

Define Picklist in Object definition. Add the entries to make it available in the field.

Step3: Admin Center – Set up Picklists.

Export data : This option will enable to download all the picklist maintained in the system.  This is used to add the option to appear in the dropdown.

This will download a file in excel in ZIP format. Unzip it to view the folder then there will be excel holding all the picklist.

Enter the data with the number range not defined in any interval. Make sure the active id is blank, system will automatically generate the id .After updating the values in the excel, You can see the values will appear in the dropdown.

Submit to upload the values.

Scroll to the bottom to find the list of values got updated in the system.To ensure data got updated successfully, try downloading the file again to look up for the created entries in the file.

 

This end the document of making the picklist available to custom or standard fields in EC.

 

Please correct me if I am wrong or reach me if you got struck in any of the places.
